Payroll

The Payroll page has two tabs: Employees, where you record who you pay and how, and Statements, where you work out each month's pay and finalize it.

Who sees what

  • Every member can open the page, but money figures show ••• for anyone without the Sees expenses & payroll permission.
  • Owners and managers can add an employee, deactivate one, generate statements and finalize them.
  • Editing an employee or a statement needs the owner or manager role and the Sees expenses & payroll permission, so a hidden figure is never saved by mistake.

Add an employee

  1. Open Payroll and the Employees tab, then click Add employee.
  2. Type the Name (required) and Phone.
  3. Choose the Payment type and enter the Rate (required):
    • Fixed: pay = rate + adjustments.
    • Per confirmed order: pay = confirmed orders × rate + adjustments.
    • One-time: only what you type in Adjustments is paid, and the rate is not added.
  4. Click Save.

To change an employee, click Edit on their row. To stop one, click Deactivate and confirm. Their payroll history is kept.

In Call-center agent ID, pick the agent from the list, or Other agent ID (not in this window)… to type the ID directly. With this link, the agent's confirmed and delivered orders count toward the employee's pay. You can see each agent's numbers in Agent Performance.

Enter Commission per delivered order and Commission per confirmed order if needed. Commission is paid on top of the base pay, whatever the payment type, for every order attributed to the linked agent that month. Leave 0 for no commission. Two active employees cannot be linked to the same call-center agent.

Generate a month's statement

  1. Open the Statements tab and choose the Month.
  2. Click Generate statements. A message such as Generated 3, skipped 0 already-finalized. appears.

Each employee gets a row with Confirmed orders, Delivered orders, Adjustments, Base, Commission (delivered), Commission (confirmed) and Total, with the employee's currency. Total = Base + both commissions.

  • You can generate again at any time: statements not yet finalized are refreshed, and finalized ones are skipped.
  • A ⓘ icon appears beside the confirmed orders count of a Per confirmed order employee who is not linked to a call-center agent. No orders can be counted for them until you link them.
  • To add a bonus or a deduction, type a number in the Adjustments box on the employee's row and leave the box, and it saves automatically. Type a negative number for a deduction.

Finalize

Click Finalize on the employee's row and confirm. The statement can no longer be edited, and its date shows under Finalized instead of Not finalized. There is no way to undo it.

Once finalized, the total counts as a payroll expense in your money reports, such as Cash Position.

If Zimam Manager refuses to finalize:

  • This statement's total must be greater than zero before it can be finalized.: change the adjustments or the rate, then generate again.
  • Add an exchange rate for ... before finalizing this statement.: add the exchange rate for that currency, then try again.

Finalize after deliveries settle. The delivery commission is counted from the orders' status when you generate. An order confirmed at the end of the month and delivered after you finalize earns no commission on that statement. Wait until the month's deliveries have settled, then finalize.
